Travel / A BACKPACK TROOPS GUIDE

Track and split shared travel expenses

Backpack Troops records trip expenses, payers and participants, with equal, amount-based, percentage and share-based splits. Use the trip ledger to review balances and record settlements; it does not transfer money between travellers.

Who paid is different from who shares the cost

If one traveller pays for dinner, that does not mean everyone on the trip attended. Record the people who actually share the expense and choose the split that matches the agreement. If more than one person paid, record their contributions.

Keep each expense’s original currency and amount clear. A hotel charge, a cash withdrawal and money returned by a friend are different events; recording all three as shared purchases would distort the balance.

  1. Open Expenses inside the trip and add the purchase.
  2. Check the amount, currency, payer or payers and participating travellers.
  3. Choose equal amounts, custom amounts, percentages or shares.
  4. Review the ledger together and record repayments as settlements.

Connect costs to the trip

An expense can be linked to a booking or activity so the group can see what it was for. Check existing entries before recording an imported booking cost again. If the charged amount changes, review the linked expense rather than assuming the ledger updated itself.

A simple example

Three travellers share a meal costing 90 in one currency. If one person pays and the split is equal, each traveller’s share is 30. The payer has covered 60 for the other two. If only two people attended, exclude the third rather than splitting across the entire trip.

Before settling up, agree how to handle refunds, cash contributions and any currency conversions. Backpack Troops records the agreement; travellers make the actual payment separately.

Common questions

Does recording a settlement send money?

No. It records a repayment in the trip ledger. Transfer money separately using the method your group agrees on.

Must every expense be split equally?

No. You can split equally, by custom amounts, percentages or shares, and select the people who participated.
